From organisations across Malaysia

"We had three people who each did the same process slightly differently. Quillstone sat with each of them, found what they had in common and produced a document the whole team could agree on. That alone was worth it."

"We were preparing for an ISO audit and realised our SOPs were out of date and inconsistent across departments. Quillstone came in with a clear scope, worked through four processes with us in six weeks, and handed over documents we could actually use on the day. The audit went smoothly."

Quality Manager, Shah Alam

"I hired Quillstone to document our client onboarding process after a staff member left and took most of the knowledge with her. The document they produced is clear enough that a new hire can follow it on their first week. I wish I had done this earlier."

"The retainer arrangement worked well for us. We had a pile of existing documents that nobody trusted, and the quarterly review sessions helped us go through them at a pace we could manage. Nadia was patient and practical — she never pushed us to document more than we needed."

"We used Quillstone for the library build across our logistics team. What I appreciated was that they did not just write what we told them — they asked why we do things a particular way and helped us identify where a step could be simplified before documenting it. Good consultants."

"We are a small firm and I was worried the engagement would be too complex or costly. The single process option was the right fit — straightforward, well-priced, and the document we received was genuinely useful. We have since added two more processes."

Case Studies

A closer look at three engagements

Case Study 01 — Single Process

Staff onboarding documentation for a professional services firm

The situation

A consulting firm in Kuala Lumpur was growing steadily but their onboarding process existed entirely in the heads of two directors. Each new hire had a different experience and took different amounts of time to become effective.

What we did

We interviewed both directors, mapped their current steps and identified gaps and duplications. The resulting procedure covered the first thirty days clearly, with distinct responsibilities and a day-by-day structure.

The outcome

New hires now follow a consistent path. The firm reported that the time for a new consultant to become independently productive reduced meaningfully within the first two cohorts to use the document.

Case Study 02 — Library Build

Warehouse procedure library for ISO 9001 preparation

The situation

A mid-sized distribution business in Shah Alam was preparing for ISO 9001 certification. Their warehouse team had no documented procedures and the certifying body had flagged this as a gap in a pre-audit.

What we did

We spent five weeks documenting eight core warehouse procedures using a consistent template agreed with the quality manager. A library index and a team walkthrough session were included at handover.

The outcome

The business passed their ISO 9001 audit without further procedural observations. The quality manager noted that the library structure made future updates straightforward to manage internally.

Case Study 03 — Advisory Retainer

Ongoing documentation maintenance for a growing property management firm

The situation

A property management company in Kuala Lumpur had grown from twelve to forty staff over two years. Their existing procedures were outdated and staff were increasingly working from informal understandings rather than written guidance.

What we did

We agreed a six-month retainer covering monthly review sessions with department heads, coaching sessions for two internal document owners, and guidance on prioritising which procedures to update first.

The outcome

By the end of the retainer, the firm had updated procedures across three departments and had two staff members who were confident maintaining documentation independently. The monthly rhythm continues internally.
