Frequently asked questions

How does the documentation process work?
We begin with a short briefing to understand the process and the people involved. From there we observe or interview those who do the work, draft the procedure document, and share it for your review. You give feedback, we refine, and the final document is yours. The pace is unhurried and we keep communication straightforward.
Do I need to prepare anything before we start?
Not much. It helps to have a clear idea of which process matters most to you right now, and to identify one or two staff members we can speak with who do that work. Existing documents or notes are welcome but not required — we can work from scratch.
What format will the final documents be in?
We typically deliver documents in Word format so you can edit and maintain them going forward. PDF versions are also provided. For library engagements we agree a consistent template at the start so all documents follow the same structure and are easy to navigate.
Will our internal information be kept confidential?
Yes. We treat all information shared with us as confidential and we are happy to sign a non-disclosure agreement before any work begins. We do not share, discuss or reference client materials with any other party.
How much time will my team need to give?
We keep team involvement to a workable level. For a single process, expect one or two conversations of around an hour each and a short review. For a library build, the rhythm is spread over several weeks so no one session is heavy. We work around your team's schedule.
Can you work with businesses outside of Kuala Lumpur?
Yes. Most of our working sessions can be conducted remotely via video call, which works well for many organisations across Malaysia. For clients in Kuala Lumpur and the Klang Valley, in-person sessions can also be arranged.
What is the difference between the retainer and the library build?
The library build is a defined project with a clear output — a set of documented procedures delivered within a fixed timeframe. The advisory retainer is an ongoing arrangement that supports your team as work evolves, helping keep documents current and useful over months rather than producing a one-time deliverable.
